For pinball museums
Software for your pinball museum
Pinventory keeps a record for every game in your collection: who owns it, who fixed it and when, which parts went into it, and what visitors report.
Free for everyone. No credit card required.
A volunteer fixed the flipper on Saturday, and nobody wrote down what they did.
Some of the collection belongs to other people, and the list of who owns what is in one person's head.
A game sat dark for a week before a visitor mentioned it on the way out.
Keep a repair history for every game
Log each repair against the game with the parts you used, the hours it took, and who did the work, so the next volunteer reads what the last person tried. Set a reminder by date or by play count, and Pinventory warns you about the batteries on older solid-state games before one leaks on a board.
Let visitors tell you when a game breaks
Print a card with a QR code for every game. A visitor scans it and reports the stuck ball from their phone, with no app to install and no account to make. Pinventory puts the report in your issue list with the game attached, and you assign it to whoever is in that day.
Record who owns each game
Add the owners to a game with each one's share and what they paid for it. A game can have one owner or several. Filter the collection by owner to answer the question in seconds, and open the value report to see what each owner's games are worth.
The rest of the museum, covered
See all featuresAdmission and door revenue
Set your location to free play and record what you take at the door, by the day, the event, or the month. The games stay on free play and you log the money once for the whole museum.
Members and dues
Sell memberships? Keep the roster, record dues as they come in, and see who is paid up and who has lapsed. The person at the door can check a member's status without seeing the money.
Volunteers and staff
Invite as many people as you need, each with a role. A technician logs repairs and works the issue list without seeing the money.
Parts on the shelf
Track what you have in stock, get a low-stock alert before you run out, and take a part out of stock in the same step that logs the repair.
A record that outlasts any one person
The serial number, what the game cost, its manual, and every repair sit on the game's own page. Export one game's full history to PDF or CSV, or the whole collection at once.
Play counts
Record audit readings from the games and see which ones your visitors play, which helps when you decide what to put out next.
Common questions
Is it really free?
Yes. The core app is free with no ads: games, maintenance, parts, QR issue reports, door revenue, the member roster and dues, and your team. Pro adds advanced reporting and P&L, tracking for arcade and other non-pinball equipment, and more.
Which account type does a museum pick?
Pick Operator when you sign up. A museum runs games for the public, and the Operator account does that job. The Collector account is for a private collection at home.
Can it track games the museum does not own?
Yes. Add the owner as a contact, then put them on the game with their share. One owner at 100% covers a game on loan, and several owners cover a game people bought together.
Do visitors need to install anything to report a problem?
No. The QR code on the game opens a web page in their phone's browser, and the report goes straight to your issue list.
Does it replace museum catalog software?
No. Pinventory keeps the working record of a game: repairs, parts, owners, and value. It does not hold accession records or exhibit text.
Want to see the QR report from the visitor's side? QR problem reporting walks through what they scan and what you get.
Sell memberships? The members and dues guide covers plans, payments, and who sees what.
Charge admission and leave the games on free play? The free-play guide shows how to record door revenue.
