Pinventory

For private pinball clubs and collectives

Software for your private pinball club

Pinventory keeps your club's members and its games in one place: who has paid their dues, which member owns each game, who fixed it last, and what players report.

Free for everyone. No credit card required.

Ten members brought games, and the list of whose is whose lives in a group chat.

Someone fixed the flipper last week, and nobody knows what they did.

The membership list is a spreadsheet, and nobody is sure who has paid this year.

Keep the member roster and the dues

Make any contact a member, put them on a membership plan, and record their dues as they pay. Pinventory works out who is paid up, who is due soon and who has lapsed, so chasing renewals is one filtered list. Everyone on your team can check a member's status at the door, and only owners and managers see the money.

Know whose game is whose

Add each game once and put its owner on it. A game that members bought together takes several owners, each with a share and what they paid. Filter the list by owner when a member asks which games are theirs, and open the value report to see what each member has in the clubhouse.

Give every game a repair history the whole club can read

Log each repair against the game with the parts you used and who did the work, so the next member to open the backbox reads what the last person tried. Set a reminder by date or by play count, and assign it to the member who said they would do it.

Let players report a problem from the game

Print a card with a QR code for every game. A player scans it and reports the problem from their phone, with no app to install and no account to make. Pinventory puts the report in one issue list with the game attached, and you assign it to one member, who gets an email and a push.

Everyone who works on the games

Invite as many members as you need, each with a role. A technician logs repairs and works the issue list without seeing the money.

Shared parts

Track the parts the club keeps on the shelf, get a low-stock alert before you run out, and take a part out of stock in the same step that logs the repair.

Guest fees and door revenue

Set the clubhouse to free play and record what guests pay at the door, by the night, the event, or the month.

Play counts

Record audit readings from the games and see which games your members play, which helps when the club decides which games stay.

Common questions

Is it really free?

Yes. The core app is free with no ads: the member roster and dues, games, maintenance, parts, QR issue reports, door revenue, and as many people on the account as you need. Pro adds advanced reporting and P&L, tracking for arcade and other non-pinball equipment, and more.

Which account type does a club pick?

Pick Operator when you sign up. A club runs games for its members and guests, and the Operator account does that job. The Collector account is for one person's collection at home.

Does it collect dues from members?

Pinventory records the dues you take and shows who is paid up, due soon, or lapsed. It does not charge cards or send members a bill, and members do not need an account.

Is this league or tournament software?

No. Pinventory tracks your members and the games themselves: who has paid, who owns each game, who fixed what, and what still needs fixing. It does not run brackets, standings, or rankings.

Can a game have more than one owner?

Yes. Put each owner on the game with their share and what they paid. The shares add up to 100%.

Do members need the app to report a problem?

No. Anyone can scan the QR code on the game and send a report from their phone's browser. Members who do repairs get an account so Pinventory logs their work under their name.

Want to see the QR report from the player's side? QR problem reporting walks through what they scan and what you get.
